At The Voz Institute, we provide all encompassing services (related to speech and language development and motor/sensory development) to children with needs secondary to the diagnoses of autism spectrum disorder, childhood apraxia of speech, expressive/receptive language disorders, fluency disorders, speech sound disorders, and orofacial myofunctional disorders, as well as motor- based and sensory processing disorders.

Position Overview

The Voz Institute is seeking a full-time Patient Services Coordinator to serve as the primary point of contact for patients and visitors while supporting the daily administrative operations of the practice.

This role is responsible for creating a welcoming environment, coordinating patient scheduling and communications, maintaining medical documentation, and ensuring efficient front desk operations.

The ideal candidate is organized, compassionate, detail-oriented, and able to multitask in a fast-paced healthcare environment.

Responsibilities

The Patient Services Coordinator responsibilities include, but are not limited to:

  • Greeting patients and visitors in a professional and welcoming manner
  • Answering questions and providing assistance to patients, families, and visitors
  • Maintaining positive energy and an inviting atmosphere throughout the office
  • Scheduling and managing patient appointments
    • Conducting new patient intake processes
  • Managing general practice communications and announcements
  • Managing important health documentation, including:
    • Sending/faxing medical records, referrals, and billing requests
    • Scanning and uploading relevant medical documentation (e.g., referrals, outside evaluations, and forms) into patients’ charts within the Simple Practice EMR system
  • Handling protocols for discharging patients
  • Collecting patient payments and maintaining accurate records of transactions
  • Maintaining cleanliness and organization of the front desk and reception areas
  • Communicating issues, concerns, or operational needs with relevant parties in a timely manner
  • Ensuring confidentiality and compliance with HIPAA and practice policies
  • Supporting additional administrative and operational tasks as assigned

Desired Qualifications

  • GED Required
  • Bilingual in English and Spanish required
  • Previous customer service, administrative, or healthcare office experience preferred
  • Ability to work under pressure, on tight deadlines, and provide effective customer service to a varying caseload of patients
  • Strong communication and problem-solving skills
  • Professional demeanor and positive attitude

Compensation & Benefits

Location and Schedule

We are located in DC and our working hours are Monday through Friday, 8:30 am to 5:30 pm.

This position is expected to be in the office 5 days per week.
